Creating a new incoming rule in Outlook 365
Step :1Open Outlook 365 if it is closed.
Step :2Click on the File tab.
Step :3Select the Info menu followed by Manage Rules and Alerts.
Step :4Now, the dialog box titled “Rules and Alerts” will open.
Step :5Locate and click on the New Rule button in the opened dialog box.
Step :6Now, the Rules Wizard dialog box will open.
Step :7Go to “Start from a blank rule” and click on the “Apply rule on messages I receive” command followed by the Next button.
Step :8Now, you can find the list of conditions displayed under the “Step 1: Select condition(s)” section in the opened dialog box.
Step :9Select the condition(s) that you wish to set by clicking the checkbox(s) beside it or them.
Step :10After selecting the condition(s), set the specific words you wish to use by clicking the “specific words” command line under the “Step 2: Edit the rule description” section.
Step :11Click the Next button.
Step :12Now, the Search Text dialog box will open.
Step :13Type the specific word in the given field and click Add.
Step :14Similarly, if you want to save the emails to separate folders, click the specified folder link in the Rule Wizard and select the New option.
Step :15Now, in the Create New Folder dialog box, type your folder name and choose the destination location of the folder, etc., as per your preferences.
Step :16Click OK > Next.
Step :17Type the rule name in the given field.
Step :18Enable the “Turn on this rule” option and click Finish.
Changing the settings, name, or behavior of the rule in Outlook
Step : 1 Open the File menu in Outlook 365.
Step : 2 Select Manage Rules & Alerts.
Step : 3 Locate and select the rule you want to change.
Step : 4 Now, click the down arrow beside the Change Rule option.
Step : 5 Select the rule you want to change from the list of rules.
Step : 6 Modify the rule as per your needs and save it.
Fixing a broken rule in Outlook 365
Step :1Select the broken rule you want to change in the Manage Rules & Alerts section (The broken rule will be red).
Step :2Edit the rules by clicking the links under the “Rule description…” section and save them.
